The reason we follow this policy is because late arrivals, short notice cancellations (less than 24 hours) or just failing to attend appointments has a significant impact on the care and treatment of not only yourself, but other patients and this is why:

  • Wasted Resources: When a patient cancels at the last minute or does not show up, it means that the clinician’s time and the resources allocated for that appointment are wasted. This includes the time spent preparing for the appointment, the cost of the appointment space, and any additional resources used.

  • Reduced Availability: Last-minute cancellations make it difficult for the Clinician to fill those slots with other patients who need care. This leads to longer waiting times for other patients which potentially delays their treatment which could result in further deterioration of their dental health meaning a greater possibility of more invasive and costly treatment being required. It also means your own treatment will be delayed and we are unable to guarantee the availability of rebooking in a short space of time as our diaries are often full three to four weeks in advance – especially for evenings and even more so for weekends.

  • Disruption to the Schedule: Cancellations & failure to arrive can disrupt the Clinician’s planned schedule, making it harder to manage the clinic effectively and potentially affecting the punctuality of other appointments.

Cancellations, Failure to Attend and Late Arrivals Policy

(We require a minimum of 24 Hours’ Notice for all appointment cancellations)

  • Less than 24-hours’ Notice: If you cancel or reschedule with less than 24 hours’ notice from the time of your appointment a fee of £2 per minute of the appointment will be charged or your plan inclusive exam or hygiene appointment will be forfeited.

  • Failing to attend: If you miss your appointment without providing any notice, a fee of £2 per minute of the appointment will be charged or your plan inclusive exam or hygiene appointment will be forfeited.

  • Late arrivals: We will always try our very best to accommodate late arrivals wherever possible, however please be aware that arriving 10 minutes or more after the start of your appointment time does not guarantee you will be seen, as it ,may not give us time to complete your appointment satisfactorily and will impact the punctuality of the rest of the clinical day.
